In addition to expenses and incomes, other things to consider include sponsorship and contingent expenses. Care must be taken to keep these costs under check.

The next move is to decide on the place and time. Many things must be considered when making this decision. Among them is security, accommodation capacity and accessibility factors. The place should be somewhere guests can locate easily. The community calendar can be consulted with to ensure that there will not another event on that day.

Communication equipment, seats, tables, foods, refreshments and other logistics should also be put under consideration. The organizing committee can work on securing reliable supplies to handle matters to do with provision of equipment and other supplies for the day. An allowance for more people should be created to avoid shortages.

For people to attend this event, they must be told about it early in time. Therefore, advertising and marketing measures should be undertaken. Cross checking helps in identification of aspects that need to be worked upon further. The organizer should make an effort to communicate with venue management frequently and keep the team updated until the scheduled date.
