This basically means that such offices take active steps to ensure that most of its correspondence and work takes place through electronic means and uses paper only when absolutely necessary. When opting for a paper free environment it is important that staff members are taught how to scan.

These setting can help a person ensure that the tone and clarity of colors appear the same within the scan result as they do in the original document. This is very important when dealing with designs or drawing for different things.

When using a scanner it is necessary to bear certain things in mind. The size of the paper needs special focus as it will greatly determine the quality of the resulting image.

If the page is smaller in size than the scanner screen and it is captured the resulting image will have black spaces all around the edges. This may seem to be something that is inevitable and unavoidable but it can be avoided in a simple manner. A blank page or two can be placed over the document to cover the edges and eliminate the occurrence of black spaces.

Edges of the pages which require scanning should always be straightened out properly. Many people tend to not realize this but turned, or crumpled edges can cause the page to get scanned in an uneven manner and that could also result in certain text being unreadable.

Different machines have some software that allows a user to make certain small or large scale adjustments to the images. These can also help in clearing blurs or broken pixels.
